OFFICE ASSISTANT

RESPONSIBLE TO: GROUP QUALITY MANAGER
The Role:
OBJECTIVES
- Under the direction of the Group Quality Manager.
- To liaise with staff regarding their weekly Timesheets, Mileage Forms and Expenses.
- To help promote good relations with all external agencies and visitors, Reception duties and reporting any areas of concern to the Group Quality Manager.
- To maintain efficient Office administration processes.
- Assisting with the continued upkeep of the I Systems ISO9001 certification.
- To assist in maintaining a healthy Office Environment.
ADMINISTRATION
- To assist with and maintain effective filing systems.
- To update the Day Tracker (recording employee hours) ensuring Annual Leave, Sickness and other absences are recorded in the correct manner.
- To ensure the Vehicle file/tracker is kept up to date with current driving licences and that they all have the correct forms / AA cards in each vehicle.
- To support in ordering Materials and booking work travel as and when required.
- To assist in Overhead Supplier contract renewals.
HR
- To control and maintain the sickness records and process.
- To support the Group Quality Manager in any meetings requiring minutes.
- To compile Contract Extension Letters in line with PO extensions.
FINANCE
- To assist in the collection of receipts from employees and tally these up with the expenses forms / Credit Card statements / Receipt Tracker.
- To process Purchase Invoices and deal with any queries.
PERSONNEL
- To assist in setting up and maintaining Personnel Files.
- To assist in maintaining Supplier Files and dealing with any queries.
SKILLS REQUIRED:
- Basic Office Word and Excel
- Good communication skills
- Confident phone manner
- Good Maths and English GCSE’s
Salary: £24,960pa
